Terms & Conditions for Young Creatives Online (YCO)

1. Workshop Overview

Description: YCO offers engaging online art workshops for children and teenagers.

Platform: All classes are conducted via Zoom
2. Registration and Payment

Registration Process: Bookings can be made through our website or via email.

Payment Details: Payments are accepted online through our booking system or via bank transfer.

Confirmation: A confirmation email will be sent upon successful registration.
3. Cancellation and Refund Policy

Participant Cancellation: Cancellations made at least 14 days prior to the workshop start date are eligible for a full refund. No refunds will be given for cancellations made within 14 days of the start date.

Transfer: You may transfer to another course up to 14 days before the workshop begins.

Organiser Cancellation: If YCO needs to cancel a class, you will be notified and offered an alternative date. If the new date is unsuitable, a full refund will be provided within three weeks.

Trial Class: Trial classes require payment for a single session. If you choose to continue, the remaining balance must be paid.
4. Workshop Participation

Technology Requirements: Participants need a laptop or compatible device, an internet connection, and a free Zoom account.

Materials: A list of required art materials will be emailed prior to the course start date.

Attendance: While attendance is encouraged, it is not mandatory. If you anticipate missing a class, please notify us so we can arrange a session recording.
5. Code of Conduct

Expected Behaviour: YCO is committed to fostering a safe, inclusive environment. We expect respectful communication among tutors and students. Disruptive or disrespectful behaviour will not be tolerated.

Consequences: If a student's behaviour becomes problematic, we will contact parents or guardians to discuss further steps.
6. Intellectual Property

Content Ownership: YCO retains full rights to all workshop materials. Reproduction without permission is not allowed.

Participant Creations: All projects, lesson plans, and instructional materials provided during the workshop are the intellectual property of the workshop leader. While participants are encouraged to create their own artwork during the sessions, the underlying projects, concepts, designs, and materials are owned by the workshop leader and may not be reproduced, distributed, or used for commercial purposes without explicit written consent.
7. Recording and Privacy

Workshop Recording:

Purpose: Workshops may be recorded when a participant is unable to attend, ensuring everyone benefits from the content.

Usage: Recordings will only capture my screen and demonstrations, excluding participants' video. These recordings will be shared solely with participants enrolled in the course.

Photography:

Purpose: I may take photographs during Zoom sessions to document the creative process, share inspiring moments, or showcase participant artwork.

Usage: These photos may be shared with workshop participants, used in promotional materials, or featured on social media and my website. No personal details will be shared without explicit permission.

Privacy: By enrolling in a course, you consent to YCO processing your personal data for administrative purposes. Data will be securely stored, treated confidentially, and not disclosed to external organisations, except for statistical and course quality monitoring purposes.
8. Liability

Disclaimer: YCO is not responsible for technical issues on the participant's end. However, we will do our best to help you catch up on any missed content.

Health and Safety: Parents or guardians should be nearby during the workshop in case of any accidents. Participants should use art materials carefully.
9. Changes to the Workshop

Amendments: YCO reserves the right to alter workshop content, schedule, or format. Participants will be informed of any changes via email.
10. Child Safety and Online Safeguarding

Supervision Requirement: For the safety of all participants, a parent or guardian is required to be nearby during the online workshop. While direct supervision isn't necessary throughout, an adult should be accessible in case of technical issues, questions, or emergencies.

Online Conduct: All participants must adhere to respectful online behaviour. Any form of bullying, harassment, or inappropriate behaviour will not be tolerated. If such behaviour occurs, the participant may be removed from the session, and the parent or guardian will be notified immediately.

Private Chatting: Participants are not permitted to privately message one another during the workshop sessions. All communication should occur in the group chat where the workshop leader can monitor interactions.

Use of Cameras and Microphones: While the use of cameras and microphones helps facilitate engagement and interaction, it is not mandatory. If a participant prefers to keep their camera off, this choice will be respected. Microphones should be muted unless speaking to avoid disruption.

Data Protection and Privacy: YCO is committed to protecting the privacy of all participants. Any personal data collected, including names, email addresses, and any other information shared during the workshops, will be handled in accordance with the Data Protection Act 2018 and GDPR 2018. This information will be securely stored and not shared with third parties without explicit consent.

Reporting Concerns: If a participant or parent/guardian has any concerns regarding safety or behaviour during the workshop, they should immediately contact the workshop leader or YCO staff. Any reports will be handled with confidentiality and urgency.

Safeguarding Policy: YCO adheres to a strict safeguarding policy to protect the welfare of all children participating in our workshops. All staff and workshop leaders are trained in safeguarding protocols and are committed to creating a safe online environment.
